Eagle Scout Project Review Meetings

While a Life Scout, Scouts must plan, develop, and give leadership to others in a service project helpful to a religious institution, school, or community. The project must benefit an organization other than Scouting. A project proposal must be approved by the organization benefiting from the effort, the unit leader and unit committee, and the council or district prior to starting the project. 

Workbook: A Life Scout should work with their Scoutmaster or Eagle Scout Project coach to come up with ideas for an Eagle Scout project. After meeting with the organization that would benefit from the project, the Scout writes up an Eagle Scout Project Proposal found in the Eagle Scout Service Project Workbook, No. 512-927. The Eagle Scout Workbook contains three sections: proposal, planning, and report. Only the proposal is needed at this point and does not require full planning, but the proposal should be specific enough for all the stakeholders to clearly understand what the project will entail and whether it will meet the requirements for the Eagle Scout rank.

Signatures Required: After obtaining approval from the beneficiary organization’s representative, the Scout’s unit leader, and unit committee, the Eagle Scout candidate must present their project to a district representative for final approval. Note that signatures can be received in any order, but the Scout cannot get district approval until all other signatures/approvals are made.

Eagle Scout Project Approval Meetings: District approval meetings are held during monthly roundtable meetings, a district-level meeting mainly for adult leaders, typically held the second Thursday of the month (except July) at 7:00 pm at Woodlands Methodist Church (2200 Lake Woodlands Dr.). Eagle Scout candidates should arrive on time for the meeting. Scouts are encouraged to wear their field uniform (Scout uniform) and they will be invited to lead or participate in a flag ceremony to start the meeting. After a brief safety minute, Scouts and district representatives will break out to separate meeting rooms to discuss their projects. Parents are welcome to attend, but the Scout should be prepared to talk about all aspects of their project on their own. They should also bring their Eagle Scout Service Project Workbook, No. 512-927 with all required signatures, except the district signature, and note-taking materials.

If a Scout cannot make it to a roundtable meeting or requires urgent approval to meet strict deadlines, note the urgency below and reason in the additional information section of the request form below.

Fundraising: If the Eagle Scout project requires more than $500 to be raised from people outside of their family or unit, an Eagle Scout Service Project Fundraising Application must be filled out, submitted to council, and approved before completing any fundraising. Fundraising includes soliciting donations or discounts from stores. It is not required to get fundraising approval before the proposal approval meeting, but it may make it easier if the Scout gets the required signatures for the fundraising application at the same time as the proposal signatures. Note that a district representative does not need to approve the fundraising application.

Project Review Meeting Details

Meetings are held during roundtable. Roundtable is a district monthly meeting typically held the second Thursday of the month at 7:00 pm at Sts. Simon And Jude Catholic Parish (26777 Glen Loch Dr., The Woodlands, TX 77381). See the district calendar for specific dates.
